The Golf Classic is the second largest and most anticipated event for JAS! The fundraiser golf tournament is held to support JASSC's educational programs featuring leaders in the fields of business, politics, academics and arts and culture. The proceeds from the tournament enables us to continue this important work, and without dedicated volunteers like you, we are unable to fulfill our mission and hold a successful fundraiser!

Timeline of Events (Tentative)

  • 7:30am - 8:00am – Truck unloading, pre-preparation of venue
  • 8:00am – 10:00am – Preparation of registration and raffle tables
  • 10:30am – 12:00pm - Guest Registration & BBQ Lunch
  • 11:50am – 11:55am – Mega Putt (putting contest)
  • 12:30pm – 4:00pm – Ballroom setup, including raffle and silent auction tables, goodie bags
  • 12:00pm - 5:30pm - Hole Witness, “Buy yardage” and YONEX Driver Demo cashier volunteers on course
  • 5:30pm – Dinner Guest Registration & Networking Reception, Silent Auction Begins
  • 5:30pm – Drone Golf Ball Drop
  • 6:30pm – Awards Dinner
  • 6:55pm & 7:00pm - Silent Auction Closing
  • 7:30pm – Raffle Part 1 / Auction Receipt Delivery
  • 8:00pm - Awards Ceremony
  • 8:30pm - Raffle Part 2 / Auction Cashier
  • 9:00pm - Conclusion of Event
  • 9:30 - 10:30pm – Clean up and truck loading

Requirements

  • Work for at least 5 hours on the day of the event, and arrive at the specified check-in time. If you need to leave early, please consult with the Event Coordinator
  • Dress code is Golf Attire (Slacks, golf shorts, and collard shirts. No sleeveless shirts or jeans). Shirts must be tucked in at all times. Also, please wear comfortable shoes. Since you will be there in the evening, we recommend that you bring a jacket.
  • Do not drink alcoholic beverages during your shift.

Duties

  • Unloading truck & Setup - Unload and distribute boxes, equipment, and other items to appropriate areas, i.e. Registration, Silent Auction, Dinner Area, US-Japan Flag Centerpieces, Stage, Beverages for the course, etc. Setup registration, course signage, trophies, raffle/silent auction item for morning display, sponsor banners, raffle sales, and give away item distribution, etc. (5 volunteers)
  • Registration - Check-in guests. When checking in guests, greet and welcome guests, politely ask for their last name, hand player packet, explain about JAS package, drone golf ball drop, mega putt and raffle, and direct guests to driving range or lunch area. Answer guests’ questions. (6 volunteers)
  • Setup (PM) – Banquet room setup includes: assembly of goodie bags, setup silent auction items and bid sheets, raffle item display, trophies, banners, dinner program, US and Japan flags on stage, podium sign, etc. (6 volunteers)
  • JAS Package – Sell JAS Package (Mulligans and contests), process payments and hand package to player.
  • Raffle - Sell raffle tickets during registration, process payments, and place stubs in raffle drum. Assist with setting up raffle item display in banquet room. Ensure that the raffle drum is delivered to the stage by 7:15pm. Distribute items as winners are called from stage. (5 volunteers)
  • Giveaway Gift – Hand one sleeve of golf balls and other goodies to each player.
  • Drone Golf Ball Drop - Sell numbered golf balls for the drone golf ball drop during registration and on course, process payments, and keep track of participant name on roster. Submit list to Drone Golf Ball Drop staff at 5:30pm (2 volunteers)
  • Hole witness – Stationed on a par-3 hole in a safe area and watch the player tee off. Serves as witness if there is a hole-in-one winner. Does not need to know the rules of golf, but must be attentive during play. (2 volunteers)
  • Buy Yardage – Stationed on 2 holes on the course. Collect payment ($20 per foursome) from players who wish to “Buy Yardage” to play from more favorable location. (2 volunteers)
  • Yonex Driver Demo – Stationed on a par-5 hole in a safe area with 2 YONEX representatives and collect donation from those that purchase clubs during the tournament. (1 volunteer)
  • Wine, Sake & Spirits grab bag sales – Setup wines, sake and spirits in paper bags, attach raffle tickets, collect payment and monitor drawings. (1 volunteer)
  • Silent auction - Assist JAS staff with unpacking and setting up auction items, bid sheet and displays. Close the silent auction in two sections at 6:55pm and 7:00pm.  After the auction closes, deliver invoices to winning guests at their tables.  Assist with cashier and with item pickup.  (5 volunteers)
  • Cleanup and loading truck – Pack up left over items, collect programs and excess goodie bags, US Japan flags (mini on tables and full size on stage) and load in truck. (5 volunteers)

Personal Belongings:

Please keep personal belongings to a minimum.  There will be an area for volunteers to store your personal belongings, however, the area is not secure.  Please keep your valuables in your possession at all times.
